How Procurement Automation Transforms a Leading NGO’s Efficiency with Power Pages – CodeValue Success Story

About the Client: A Leading NGO in India Supporting Food & Education of Children.

Industry: Non-Profit, Food & Education

Business Scenario:

A well-known NGO dedicated to providing food and education to underprivileged children in India was effectively managing its procurement and approval processes using Microsoft Dynamics 365 Finance & Operations (D365 F&O). While D365 F&O provided a strong foundation, the NGO sought to further enhance vendor interactions and streamline its procurement cycle. To achieve this, Power Pages was introduced as an external-facing platform to complement the existing system.

Our Solution:
To enhance procurement efficiency, our team implemented Microsoft Power Pages, an external-facing website platform within the Power Platform ecosystem. This solution enabled the NGO to manage purchase requisitions efficiently while improving vendor engagement.

Implementation Details:

Data Integration:

  • The approved purchase requisitions (PRs) from D365 F&O were seamlessly integrated into Power Pages, ensuring data consistency and compliance.
  • The integration ensured that only validated PRs were displayed on Power Pages, maintaining procurement accuracy.

Procurement Cycle Management (PCM):

  • A new Procurement Cycle Management (PCM) process was introduced within Power Pages.
  • PCM served as a quotation management system, converting PRs into requests for quotations (RFQs) and sending them to vendors.
  • Vendors could submit their quotations directly through the Power Pages portal, making the process seamless and transparent.

Vendor Interaction:

  • External vendors were granted access to the Power Pages portal to submit their quotations.
  • The system automatically compared received quotations, highlighting the lowest bid for streamlined decision-making.

Trade Agreement & Approval:

  • The lowest quoted price was validated, leading to the creation of a trade agreement.
  • The entire approval process was optimized within Power Pages, ensuring procurement efficiency and cost-effectiveness.

Key Benefits:

Cost Optimization:

  • Enhanced procurement workflows with Power Pages, reducing manual efforts.
  • Improved resource allocation for procurement approvals.

Efficiency & Automation:

  • Automated PR extraction and RFQ generation.
  • Simplified vendor interaction and quotation management.

Scalability & Accessibility:

  • Power Pages enabled external vendors to participate without requiring direct system access.
  • Seamless integration ensured a smooth transition from PR approval to vendor selection.

Conclusion:
By leveraging Microsoft Power Pages, the NGO successfully optimized its procurement process, achieving greater efficiency while maintaining operational effectiveness. This implementation demonstrates how Power Platform solutions can complement existing ERP systems like D365 F&O to enhance business processes and improve procurement management.
